Frequently Asked Questions

What personal information does Dental Shield collect?

Dental Shield collects account details like your name, email, phone number, and practice information; professional credentials and identity documents during onboarding; patient information entered for insurance verification; payment details processed through Stripe; and in-app messages between practice admins and dental professionals.

Does Dental Shield collect patient data, and how is it used?

Yes - patient names, dates of birth, insurance policy details, and related benefits information are collected when authorized practice staff enter them for insurance verification and billing purposes. This data is handled under the confidentiality and security standards described in the Privacy Policy.

Does Dental Shield sell my personal information?

No. Dental Shield explicitly states it does not sell personal information. Data is only shared in specific circumstances - like with practices, professionals on the staffing marketplace, trusted service providers, or when legally required.

Is Dental Shield HIPAA compliant?

Dental Shield implements administrative, physical, and technical safeguards for Protected Health Information (PHI) and enters into Business Associate Agreements (BAAs) with covered entity clients as required. For more general compliance and security questions, you can also check the FAQ page.

How does Dental Shield protect my data?

Security measures include AES-256-GCM encryption for data at rest, TLS/SSL encryption for data in transit, secure server-side session management, rate limiting, role-based access controls, and regular security reviews. That said, no electronic system is 100% guaranteed secure.

What third-party services does Dental Shield share data with?

Dental Shield uses trusted providers including Stripe for payments, Resend for email delivery, OpenAI for AI features, and Google Maps for location services - each only accessing what's necessary to perform their specific function. Insurance clearinghouses like DentalXchange, Availity, and Office Ally also receive data solely for eligibility verification.

Does the Chrome Extension collect my browsing history?

No. According to the policy, the Chrome Extension only accesses dental PMS web pages to extract patient data for insurance verification and benefits lookup. It operates within the active tab, communicates only with Dental Shield servers, and does not access unrelated websites or browsing history. You can read more about the extension itself on the Chrome Extension page.

Does the Chrome Extension require sign-in before accessing data?

Yes - the extension requires explicit user authentication before it can access any patient data, adding a layer of protection against unauthorized use.

How is my data used with AI features on the platform?

AI is used for insurance verification, claims recovery analysis, staffing recommendations, and conversational assistance. Dental Shield states that AI outputs are meant as decision-support tools for review by qualified professionals, and that data is not used to train third-party AI models - this is backed by data processing agreements with OpenAI.

How long does Dental Shield keep my information?

Information is retained as long as your account is active, or as needed for legal and regulatory compliance - for example, professional credential documents and tax forms follow applicable regulatory retention rules. You can request deletion of your account and data at any time, subject to those requirements.

Can I request that Dental Shield delete my data?

Yes. Depending on your jurisdiction, you have rights to access, correct, delete, or request portability of your personal information, and to object to certain processing. Dental professionals specifically can delete their account through the mobile app or web platform, which performs a soft-delete while preserving records needed for tax and regulatory purposes.

Does Dental Shield collect location data?

Yes - approximate location is derived from your IP address, and precise location is collected specifically when using shift check-in/check-out features, and only with your permission.

Is Dental Shield safe for children's data?
